Important A/V Reservation Information

Additional Information

A/V service requests require advance notice to guarantee fulfillment

Fulfilled requests that do not meet the advance notice requirements may incur an additional surcharge of 50% of the total AV charge (excluding post-production charges). Please note: fulfillment of "short-notice" requests is subject to availability of staff and equipment, and therefore cannot be guaranteed.

Service type Notice required:

5 business days:
Activate Existing Room Equipment, other basic A/V service requests (such as laptop, portable computer projector and screen), Soundstations (speakerphones)

7 business days:
Audio/videotaping and portable sound systems 7 business days

14 business days:
Webcasting, evening/night events (regardless of equipment and services)

30 business days:
Multi-day events, symposiums, weekend events (regardless of equipment and services)

Estimates can be provided by request, rates listed below are typical for the type of event, additional services or equipment may result in additional costs. Below are typical costs for common types of events:

Caspary Auditorium Equipment & Services

Caspary is fully hybrid/webcasting ready with the following standard equipment: Digital projector (via HDMI), screen, podium mic, 4 wireless lavaliere microphones, 4 wireless hand-held mics, up to 8 additional wired mics, PTZ camera, PC & Mac computers, presentation remotes & laser pointers. Caspary generally must have a tech on site for the duration of the event.

Carson Family Auditorium Equipment & Services

CFA is fully hybrid/webcasting ready and has the following standard equipment: Digital Projector (via HDMI), screen, podium mic, 3 wireless lavaliere microphones, 3 Hand held mics, up to 4 additional wired mics, 3 PTZ Cameras, Mac computer, presentation remotes & laser pointers. CFA can be used as Self-serve for in-person or hybrid events.

Great Hall, Welch Hall Equipment/Services

The Great Hall is fully hybrid ready and has the following standard equipment: Digital Projector, screen, podium mic, 3 wireless lavaliere microphones, 3 Hand held mics, up to 4 additional wired mics, 1 PTZ Camera, Mac computer, presentation remotes & laser pointers. Great Hall is available with limited Self-Serve capabilities.

Adler Room, Welch Hall

Adler Room is adjacent to the Great Hall, and has a 65" flat panel monitor and Logitech video teleconferencing system available as self-service or with with a tech assist.

Hess Academic Center Conference Rooms

The Hess Conference rooms are hybrid ready, self-serve capable with the following equipment: 96" Flat panel monitor (via HDMI), installed Mac computer, 1 PTZ Camera, 6 wireless table microphones, 2 wireless clip-on microphones (both mic systems are for hybrid use only)

Weiss Research Building 301/305

The WRB Seminar rooms are self serve capable, and 301 is hybrid ready with installed equipment, 305 requires additional techs and equipment for hybrid. Both rooms have a Digital Projector (via HDMI), 1 Lavaliere microphone and 1 handheld microphone.

CRC Large Conference Room

Each of the CRC Large Conference Rooms has large flat panel monitor (via HDMI) and is self-serve capable. Hybrid requires additional equipment in any of the rooms.

CRC Small Conference Room

Each of the CRC Small Conference Rooms has a medium sized flat panel monitor (via HDMI) and is self-serve capable. Hybrid requires additional equipment in any of the rooms.

Nurses Residence 110B

The Nurses Residence 110B is a self serve ready conference room for small to medium sized meetings, with a digital projector (via HDMI), an installed Mac computer and a podium microphone. No wireless mics or installed equipment for hybrid are available. *Please note, Hospital needs will be prioritized over all other bookings in this space, you may need to relocate should the Hospital team require the room.

Rockefeller Research Building 110

The Rockefeller Research Building room 110 is a self serve, hybrid ready conference room for small to medium sized meetings, with a digital projector (via HDMI) and an installed camera and microphone for hybrid meetings (via USB). No other microphones are available, but there are installed speakers for in room audio from the connected laptop.

Virtual Meetings

Other Event Spaces

Most unlisted event spaces are raw spaces with little or no AV infrastructure available, please describe the event below, an AV specialist will contact you for additional information.
